The Front Office Incharge plays a crucial role as the first point of contact for patients and attendants. This position is responsible for creating a positive first impression by warmly welcoming patients, managing OPD and IPD registrations, scheduling appointments, handling walk-ins, and ensuring smooth queue management. The Front Office Incharge must handle patient inquiries and complaints politely and professionally while maintaining a calm and organized environment at the reception area.
The role also includes complete billing and cash management responsibilities such as generating OPD/IPD bills, collecting payments through cash, card, or UPI, maintaining daily cash records, preparing collection reports, and coordinating discharge billing. Accuracy and transparency in financial transactions are essential.
In addition, the Front Office Incharge manages phone calls, WhatsApp inquiries, and appointment confirmations, ensuring proper communication between doctors, nurses, lab staff, and patients. They are responsible for maintaining patient records, admission and discharge entries, and daily data reports.
The position requires regular reporting of daily OPD/IPD numbers, revenue collections, and pending payments to management. In smaller hospitals, the Front Office Incharge may also assist in patient engagement activities such as collecting feedback, encouraging testimonials, and supporting health camp registrations.
