About the Event: The Career Quest Expo 2025 is a pivotal event focused on empowering individuals, especially those from rural communities, by providing a platform to connect with potential employers, recruiters, and educational institutions. This exhibition is dedicated to supporting the development of both skills and careers, offering hands-on training, career guidance, and access to various free certified courses and bursaries. Set in the OR Tambo region of the Eastern Cape, this event is designed to transform futures and unlock opportunities for everyone, from the unemployed to those seeking to upskill or reskill.

Job Overview: We are looking for a dynamic, organized, and motivated Event Coordinator to join the team for the successful execution of the Career Quest Expo 2025. The Event Coordinator will be responsible for overseeing the day-to-day logistics of the event, ensuring that all exhibitors, speakers, and attendees have a seamless experience. From planning to execution, this role requires a passion for community development, education, and career empowerment.

Key Responsibilities:

  1. Event Planning & Logistics:
    • Coordinate all aspects of the event, from initial planning to on-the-day execution.
    • Work closely with venue management, vendors, and suppliers to ensure all logistics are in place, including booths, signage, and technology requirements.
    • Ensure compliance with all health and safety regulations, particularly in relation to large gatherings and public events.
    • Assist in coordinating the transportation and accommodation for guests and exhibitors, if needed.
    • Manage the creation of event schedules, including timing for training sessions, speeches, and networking events.
  2. Exhibitor and Vendor Management:
    • Serve as the primary point of contact for all exhibitors, recruiters, and training institutions participating in the expo.
    • Assist with booth allocation, design, and setup to ensure all exhibitors have the necessary equipment, materials, and space.
    • Ensure timely communication with all vendors, providing them with key event details and expectations.
  3. Stakeholder Coordination:
    • Maintain communication with sponsors, exhibitors, and partners to ensure they meet all requirements.
    • Work closely with local and regional organizations to identify potential exhibitors and participants.
    • Build and maintain strong relationships with community leaders, educators, and other stakeholders.
  4. Marketing & Promotion:
    • Assist in the creation and distribution of promotional materials for the event.
    • Coordinate social media campaigns and digital marketing efforts to attract attendees, volunteers, and exhibitors.
    • Promote the expo to the local community, focusing on rural areas in and around the OR Tambo Region to ensure maximum participation.
  5. On-Site Event Management:
    • Oversee the event setup, ensuring all booths, displays, and equipment are in place.
    • Manage the registration process for attendees, providing them with information about training, bursary applications, and live job opportunities.
    • Handle any logistical issues that arise on the day of the event and ensure timely solutions.
    • Coordinate with volunteers, ensuring all teams are well-prepared to provide support during the event.
  6. Post-Event Follow-Up:
    • Collect feedback from exhibitors, participants, and attendees to gauge the event’s success and areas for improvement.
    • Assist with the analysis and reporting of attendee data, ensuring all relevant metrics are captured.
    • Ensure that any post-event communication, including thank-you notes to sponsors, partners, and participants, is carried out promptly.

Key Skills & Qualifications:

  • Experience: At least 2-3 years of experience in event planning, coordination, or project management, with a focus on community development or career fairs being an advantage.
  • Education: A relevant degree or diploma in Event Management, Public Relations, Communications, Business Administration, or related fields is preferred but not mandatory.
  • Skills:
    • Excellent organizational and time management skills with the ability to manage multiple tasks simultaneously.
    • Strong verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and event management software.
    • Ability to work under pressure and solve problems quickly.
    • Strong interpersonal skills and the ability to work with a diverse team of stakeholders.
    • Understanding of social media platforms and marketing strategies for events.
    • Fluency in English and knowledge of local languages in the Eastern Cape region would be an advantage.
